This policy describes how the West U Wolverines youth baseball team website handles information provided by parents, guardians, players, and other site visitors.

Information we collect

We may collect parent or guardian names and email addresses, player names and team information, photographs and player profiles supplied for team use, team communications, forms, and league or tournament fee records. When a family requests access to its fee information, we process its email address and a temporary verification code.

How we use information

We use information to manage team participation, publish team updates and schedules, communicate with families, provide authorized access to player-specific fees, and administer team payments. We do not publish individual family fee balances on public pages.

Services we use

The website is hosted using Netlify. Team email is sent using an authorized Gmail account. Stripe processes applicable payments. These providers process information as needed to provide their services under their own privacy terms. We do not intentionally store complete payment card numbers on the team website.

Photos and children's information

This is a youth sports website. Team photographs, names, and profiles may appear in team areas of the website. Parents or guardians can contact team management to request changes to information about their child. Children should not submit personal information without a parent or guardian's involvement.

Access and protection

We limit access to private family fee information to authorized contacts using email verification. We use technical and organizational measures intended to protect stored information, but no online system can guarantee absolute security.

Retention and requests

We retain team information as needed for team operations, recordkeeping, and applicable obligations. Parents or guardians may request access, correction, or deletion of information by contacting team management, subject to records that must be retained.
